Tags
Free-form labels on profiles to organize and filter members, with a name and a color. How to add, rename, merge and delete them, the limits, the automatic speaker tag, and the difference between a tag and a group.
Tags are labels you put on members' profiles: Class of 2026, Mentor, VIP Client, São Paulo, Referred by Ana. They help you find and filter people in the member list.
What they're for
| Community | Useful tags |
|---|---|
| Online school | March class, April class, Finished the course, Scholarship |
| Coworking space | Resident, Flex, Floor 2, Internal event |
| Customer community | VIP Client, Annual plan, Beta tester |
| Association | Board, Volunteer, Member since 2020 |
Tag or group?
| Tag | Group | |
|---|---|---|
| What for | Organizing and filtering | Splitting the community and granting access |
| Opens spaces? | No | Yes, in the Who gets in list |
| Has a leader and hierarchy? | No | Yes, and it can sit inside another group |
| Shows in the org chart? | No | Yes |
| Example | VIP Client | March class, which opens the class's room |
Rule of thumb: if the label needs to open a door, it's a group. If it only helps you find people, it's a tag. See Groups and org chart.
How it works
Limits
- Each tag has 1 to 40 characters: "Each tag must be text with 1 to 40 characters."
- Each profile can have up to 20 tags.
- There is no limit on the number of tags in the community.
System tags
Some tags are set by the platform, and nobody can edit them. Today there is one: Speaker ("Submitted a proposal to a call for papers"), on anyone who submitted a proposal to a call for papers. It helps you invite speakers back for the next edition.
Who can
Adding, removing, renaming, coloring and deleting tags: the owner, admins and moderators.
Step by step
Tag a member
Role: owner, admin or moderator.
- Administration › Members, in the person's Tags column (or in their editor), click Add tag.
- In the Member tags window, search for an existing tag or type a new one and choose Create "…".
- Save: "Nothing changes until you save."
The Tags tab
Administration › Members › Tags lists the tags in use, with how many people carry each one ("3 people"). From there:
- Rename: changes the tag on everyone who carries it ("The tag 'Mentor' will be rewritten on 12 profiles."). Renaming to the name of a tag that already exists merges the two: "'Mentors' already exists, with 4 people. The two become one, and this can't be undone." (Merge the two).
- Color: changes the color the tag is shown in.
- Delete: the tag comes off every profile; the profiles stay ("The tag 'Beta' comes off 8 profiles.", Delete everywhere).
Filter by tag
In the Members list, use the Tags filter.
Examples
Separating classes for announcements. Put March class on 30 students and April class on 25. When you need to send a message, filter by the tag and copy the emails.
Merging two similar tags. Half the team used Mentor, the other half Mentors. In Tags, rename Mentor to Mentors and confirm Merge the two.
Finding past speakers. Filter by the Speaker tag before opening the next call for papers.
Common errors and how to fix them
| Message | What to do |
|---|---|
| Each tag must be text with 1 to 40 characters. | Shorten the tag |
| A profile can have at most 20 tags. | Remove tags you no longer need |
| Tag not found in this community | It was deleted or renamed; reload |
| Could not rename the tag. | Try again; if it persists, reload the page |
Frequently asked questions
